Understanding Assisted Provider Documentation

Assisted Provider Documentation is a secure, HIPAA-compliant tool designed to enhance the quality of your care. By converting in-session conversations into structured clinical notes using audio transcripts, this feature allows your provider to stay fully present and focused on you, rather than divided by manual note-taking.

With the explicit consent of both you and your provider, sessions are audio-recorded and transcribed, enabling highly personalized follow-up care based on the specific details of your conversation.

How It Works

Your control and privacy are built into every step of the process:

  • Consent is Mandatory: You and your provider are prompted for permission at the start of every eligible session. If you do not consent, your session continues as usual, and your care is not impacted in any way.
  • Audio Only: We never record video—only the audio from the session is captured.
  • Withdraw Anytime: You can ask your provider to pause or stop the recording at any point during your session.
  • Automatic Deletion: Once the audio recording is sent for transcription, the audio file is immediately deleted.

Privacy and Security Standards

Spring Health applies strict safeguards to ensure your data remains confidential:

  • Short-Term Provider Access: The raw transcript is available to your provider for only 72 hours to assist with care planning and documentation. After this window, it is removed from their view.
  • Strict Confidentiality: Transcripts are never shared with your employer and are not released for legal purposes.
  • Anonymized Quality Assurance: Spring Health retains a de-identified version of the transcript (scrubbed of all PII and PHI) in a secure data warehouse. This helps us standardize care and improve treatment outcomes while maintaining your absolute anonymity.
  • Certified Protection: Our systems are 100% HIPAA-compliant and adhere to the highest security standards, including SOC2 and HiTrust certification. Data is encrypted both at rest and in transit.
